Just a suggestion... if you can get a commitment (ie 10 rooms/doubles) as to potential attendees, the hotels MAY give you a group discount based on 10-20 rooms... works for my groups all the time. You may get $20-40 off each night needed, certainly helps to drive up the numbers attending as well. Guests may have to book in advance with credit card to secure they special rates.

Also.... the concept that we are announcing the event through the web site may interest them as free advertising (which I am sure Xavier and board rules would go along with as it would technically be a board type event) (including the number of hits the site receives monthly, is always a good selling feature)

Same would hold true for a club willing to 'host' an evening meal/party for the adults... including special pricing etc...

(any reggae shows that weekend, which could be included?)
